How construction payment applications work in the UK
A payment application is your request for payment under the valuation and payment process agreed in your subcontract. A clear application makes the amount, period and calculation easier to check.
Start with the contract
Check the valuation date, application deadline, required format, submission address and supporting records in your subcontract. Payment terms are contract-specific. The Construction Act requires an adequate mechanism for determining what and when payments become due in covered construction contracts, but it does not create one universal application form or monthly timetable.
Show the calculation
Identify the period and contract reference. Separate work completed, materials (where the contract allows them), agreed variations and any previous cumulative value. Show retention and other deductions separately, and state the amount claimed. Attach the records your contract asks for, such as measured quantities, delivery evidence, photos or approved variation references.
Keep the application distinct from notices
An application is usually the payee’s valuation request. A payment notice is a separate notice in the statutory/contract payment mechanism. Do not assume an application automatically serves as a notice unless the contract and the Act requirements make it one. Record when and how every document was sent.
Example
If this period’s measured work is £4,800 and an approved variation is £400, the gross valuation shown is £5,200. At a contract retention rate of 5%, retention is £260 and the amount before other agreed deductions and VAT is £4,940. Reconcile this with cumulative previous valuations; do not submit a standalone figure that conflicts with your contract’s cumulative method.

- Use the contract’s application date and required recipient.
- Reference each variation and attach evidence.
- Show gross valuation, retention, deductions and VAT treatment separately.
- Keep the submitted file and proof of service.
Common questions
Does a payment application guarantee payment?
No. It is part of the payment process. Check the payment notice, pay less notice, due date, final date and service provisions in the contract.
Should VAT be included in the application?
